Heartwood Oak (“we,” “us,” “our”) is a partnership development practice run by Maggie and Kay. This page explains what information we collect when you visit heartwoodoak.com or interact with us, how we use it, and the choices you have.

Who we are

Heartwood Oak is a small two-person practice. You can reach us any time at team@heartwoodoak.com. We are the controllers of any personal information you share with us directly.

Information we collect

We do not run a contact form on this site and we do not run our own analytics or tracking pixels. The information that does reach us falls into two buckets:

1. Information you give us directly

• If you email us, we receive your email address, your name (if provided), and the contents of your message.
• If you book a call through our scheduling link, our scheduling provider (Calendly) collects the information you enter — typically your name, email address, and the time you choose — and shares it with us so we can confirm and hold the call.

2. Information collected automatically by third parties

• Web hosting: Our host may log standard request data (IP address, user agent, page URL, timestamp) for security and reliability. We do not use these logs for marketing.
• Calendly: Our scheduling links (the “Start your journey” buttons and similar CTAs) open the Calendly website in a new tab. Once you’re on Calendly, they may set cookies on their own domain and process the information you enter when booking a call. Their use of that information is governed by the Calendly Privacy Notice.
• Google Fonts: Fonts on this site are served by Google’s CDN. When your browser requests them, Google may receive your IP address and basic browser information. See the Google Privacy Policy.
• unpkg (CDN): Some scripts that make this site work are served from the unpkg content-delivery network, which similarly may receive your IP address and browser information when your browser requests them.

How we use information

• To respond to messages you send us.
• To schedule, hold, and follow up on discovery calls and program sessions.
• To run, maintain, and improve this website.
• To comply with the law where we are required to.

We do not use your information for advertising, and we do not build profiles about you.

How we share information

We do not sell your personal information, and we do not share it with third parties for their own marketing. We share information only with:

• Service providers that help us run the practice — currently Calendly (scheduling), our email provider, and our web host — and only with what they need to do their job.
• Authorities, if we are legally required to (for example, in response to a valid subpoena).

Cookies

We do not set first-party tracking cookies. Cookies that may be set when you visit this site come from the third parties above (most notably Calendly, when the scheduling widget loads or you open it). You can control cookies through your browser settings. Blocking third-party cookies will not affect your ability to read this site, but it may affect whether the Calendly scheduling popup works.

Confidentiality of your relationship

Anything you share with us during a discovery call or a session is treated as private and is not disclosed to anyone outside our practice except with your permission, or when we are legally required to (for example, a credible threat of harm). This is a professional commitment, separate from this website’s data practices.

Your choices and rights

You can ask us at any time to:

• Confirm what information about you we hold.
• Correct information that is wrong or out of date.
• Delete information you have given us, where we are not required to keep it.
• Stop emailing or contacting you.

If you are in the European Economic Area, the United Kingdom, or California, you may have additional rights under the GDPR, UK GDPR, or CCPA, including the right to lodge a complaint with a supervisory authority. Email us and we will help.

Data retention

We keep email correspondence and scheduling records for as long as we are working with you, plus a reasonable period after, to handle follow-ups and our own record-keeping. After that, we delete or anonymize them.

Security

We take reasonable steps to protect the information you share with us, including using reputable providers, strong account security, and limiting access to the two of us. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Children

This site and our services are not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will delete it.

International users

We are based in the United States, and the providers we use may process information in the United States. By using this site, you understand that your information may be transferred to and processed in the United States.

Changes to this policy

We may update this policy from time to time. When we do, we will change the “last updated” date at the top of this page. If the changes are significant, we will make a reasonable effort to let you know — for example, by noting it on the homepage or by email if we have one for you.
